The Pivot Retreat Terms & Conditions

The Pivot Retreat is operated by CK Coaching and Consulting Ltd (“we”, “us”, or “our”), a company registered in England and Wales. These Terms and Conditions set out the agreement between you and CK Coaching and Consulting Ltd in relation to your participation in The Pivot Retreat. By submitting a booking and deposit, you agree to be bound by these terms. Please read them carefully before confirming your place.
1. Eligibility and Participant Readiness
Participants must be aged 18 or over at the time of the retreat. We welcome individuals who are at a pivot point in their lives or careers. By pivot point we mean anyone navigating change, exploring new directions, or pursuing an idea or dream.
We reserve the right to decline bookings before or after receiving your booking form if we believe the retreat is not the right fit for a participant’s needs or stage of journey.
We may also request a short conversation or written reflection prior to confirming your booking to ensure that the retreat is the right for you and that you’re able to fully to engage with the process. This helps us create the best experience for you and the wider group.
2. What’s Included or Not Included in Your Retreat Booking
Your booking includes:
Three full days of immersive retreat content, including coaching, workshops, guided reflection, and self-work
Private accommodation at Restaries at Paradise Farm for the duration of the retreat
All meals, drinks, and snacks from arrival to departure
All retreat materials and take-home resources
Optional wellness activities such as outdoor walks, movement sessions, meditation, or breathwork
Post-retreat support and access to the community
A truly intimate and curated experience designed to support meaningful change
Your booking does not include:
Travel to and from the venue
Travel insurance or personal insurance
Any additional activities, treatments, or services not listed in the retreat itinerary or provided by third parties
Medical or therapeutic services
Please ensure you make appropriate travel and insurance arrangements. We recommend that all participants have personal insurance that covers travel disruptions and any necessary healthcare.
3. Booking Process
To secure a place on The Pivot Retreat, participants must:
First register your interest via our website. If a place is available, we will contact you via email with a booking form and instructions for payment.
·Pay a non-refundable deposit of 50%. An invoice will be issued for both the deposit and the remaining balance. The balance must be paid in full no later than 6 weeks before the retreat start date.
Confirm you have read and agree to these Terms and Conditions, by submitting the booking form and paying your deposit
Once your deposit is received, we will send you official confirmation of your place. A further confirmation will be sent once the remaining balance is paid.
If full payment is not received by the stated deadline, we reserve the right to cancel your booking and offer the space to someone else.
4. Payment Terms
To confirm your place on The Pivot Retreat, a non-refundable deposit of 50% of the total retreat fee is required. The remaining balance must be paid in full no later than 6 weeks prior to the retreat start date.
You will receive a separate invoice for each payment stage.
All payments are currently accepted by bank transfer only. Full bank details will be provided on your invoice.
If you are unable to attend and notify us more than 4 weeks before the retreat, your deposit may be transferrable either to a future retreat (subject to availability) or to another eligible participant, at our discretion.
If the balance is not paid by the deadline, we reserve the right to cancel your booking and reallocate your place. A £100 + VAT administration fee will be charged for late payments or for any reinstatement of a lapsed booking.
5. Cooling Off Period
If you are booking as a consumer (i.e. not through a business) and complete your booking online or via email, you are entitled to a 14-day cooling-off period under the Consumer Contracts Regulations 2013.
This means you have the right to cancel your booking for any reason within 14 calendar days of receiving your booking confirmation.
To cancel during this period, please notify us in writing at contact@thepivoteers.com. If you have already paid a deposit or full fee, we will refund this amount in full.
Please note this only applies to bookings made more than 14 days before the start date. If your retreat is due to begin within 14 days, the cooling-off period may not apply, and our standard cancellation policy will take effect.
6. Cancellations, Refunds & Transfers
If you cancel your place:
More than 6 weeks before the retreat: Your 50% deposit is non-refundable. Any additional payments made will be refunded.
Between 4–6 weeks before the retreat (and after full payment): Your deposit is non-refundable. The remaining balance will be refunded.
Less than 4 weeks before the retreat: No refund is available. However, your place may be transferrable to another person or to a future retreat date, subject to availability and at our discretion.
Transfers
If you wish to transfer your booking to another person or future retreat date, we will do our best to accommodate this.
An administration fee of £50 +VAT may be charged to cover associated costs.
Illness or emergencies
We do not offer refunds for illness, injury, or personal emergencies. However, we may consider transfers or partial credit on a case-by-case basis for serious circumstances (e.g. bereavement, hospitalisation), if notified as soon as possible.
We recommend that all participants take out appropriate travel insurance, even for UK-based events.
If we cancel the retreat
In the unlikely event that we must cancel or postpone the retreat (e.g. due to illness, venue issues, or low numbers), you will be offered a full refund of all monies paid, or the option to transfer your booking to a future retreat.
We reserve the right to cancel the retreat if the minimum participant numbers are not met. If this happens, you will receive a full refund.
We are not responsible for any other costs incurred, so we strongly recommend booking flexible travel and securing insurance to protect against such circumstances.
7. Participation & Conduct
The Pivot Retreat is designed to be a safe, respectful and inclusive space for all participants. By attending, you agree to the following standards of conduct:
Confidentiality: Participants must respect the privacy of others. What is shared in the group stays in the group.
Boundaries: Please honour personal, emotional and physical boundaries always.
Respectful Behaviour: Harassment, bullying, discriminatory behaviour, disruptive conduct or excessive alcohol consumption will not be tolerated.
Substances: No illegal drugs or misuse of substances are permitted at any time during the retreat.
Voluntary Participation: All sessions and activities (including movement, breathwork, walks, and coaching exercises) are optional. You are responsible for choosing your level of participation.
Responsibility: This is a coaching-led experience. While it may be therapeutic in nature, it is not a substitute for therapy, counselling or medical support. You are responsible for your own wellbeing before, during and after the retreat.
We reserve the right to remove any participant from the retreat if their behaviour compromises the safety or experience of others, without refund.
8. Liability & Indemnity
Participation in The Pivot Retreat is entirely voluntary and at your own risk. By booking and attending, you acknowledge and agree that:
Personal Responsibility: You are responsible for your own decisions, actions and outcomes during and after the retreat. No specific results or transformations are guaranteed.
Physical Activities: Optional sessions (such as movement, outdoor walks, meditation or breathwork) are facilitated by experienced providers. You participate at your own discretion and should consult a healthcare professional beforehand if you have any concerns.
Medical Disclaimer: This retreat is a coaching-based programme and is not a replacement for therapy, mental health services or medical treatment. We are not liable for any physical, emotional or psychological outcomes that arise during or after the retreat.
Loss or Damage: We are not responsible for any loss, damage or theft of personal belongings during the retreat.
Indemnity: You agree to indemnify and hold harmless CK Coaching and Consulting Ltd, its directors, facilitators and partners from any claims, damages, liabilities or expenses arising from your participation, except in cases of proven negligence.
Nothing in these terms limits liability for death or personal injury caused by our negligence or affects your statutory rights as a consumer under UK law.
9. Intellectual Property & Use of Materials
All materials provided as part of The Pivot Retreat, including written content, workshop resources, visual aids, frameworks, and exercises, remain the intellectual property of CK Coaching and Consulting Ltd and its partners. By attending, you agree to the following:
Personal Use Only: You may use retreat materials for your own personal reflection and development. They may not be copied, reproduced, shared, or used commercially without our prior written permission.
No Recording: Audio or video recording of any retreat session is not permitted without express consent from the facilitators.
Retreat Content: The content and structure of the retreat is proprietary and may not be replicated or used to create your own events, programmes, or courses.
Use of Testimonials or Imagery:
– From time to time, we may collect anonymous feedback, written testimonials, or photographs during the retreat to help us share the spirit and impact of The Pivot with others.
– We will always seek your verbal or written consent before using any identifiable images, quotes, or stories for marketing or promotional purposes (e.g. on our website, social media, or future retreat materials).
– Participation in any photography, videography, or testimonial opportunity is entirely optional. You may opt out at any time, either before or after the retreat, by contacting us at privacy@thepivoteers.com.
10. Force Majeure
We will not be held liable for any delay or failure to perform our obligations if such delay or failure is caused by circumstances beyond our reasonable control. This includes, but is not limited to: natural disasters, extreme weather, fire, flood, pandemic, illness, strikes, government restrictions, venue issues, or travel disruption.
In such cases, we will do our best to reschedule the retreat or offer you a transfer or credit toward a future date. Refunds may not be possible unless required by law.
11. Data Protection & Privacy
We are committed to protecting your personal data. Any information you provide during the booking process or the retreat itself will be handled in accordance with our [Privacy Policy] and in compliance with UK GDPR.
We only collect the information necessary to deliver a safe, supportive, and legally compliant retreat experience. This includes contact details, dietary or accessibility needs, and any relevant emergency or medical information you choose to provide.
Your data will never be shared with third parties for marketing purposes. You can request to access, correct, or delete your personal data at any time by contacting us at privacy@thepivoteers.com.
12. Legal Terms
Governing Law: These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
Variation: We may update these terms from time to time. You will be notified if any material changes are made that affect your booking.
Entire Agreement: These terms and conditions, together with any booking form or invoice issued, constitute the entire agreement between us and supersede any prior discussions or representations.
Severability: If any part of these terms is deemed unlawful, invalid or unenforceable, that part will be severed and the remaining terms will remain
